Appointment booking

Let people book a time with you from the chat, the widget, Telegram or Bale — and see every booking in one list.

Appointment booking is an optional tool. When you turn it on, anyone who writes “I want an appointment” gets your free times, picks one, and gets a booking code. It is off until you turn it on. It uses no credits.

Workspace page → the Appointments button at the top (on a phone, in the ⋯ menu).

Turn it on

You need two things before booking can start: your work hours, and the switch.

  1. 1

    Open Appointments

    In the workspace, press Appointments.

  2. 2

    Set your work hours

Open the Settings tab. For each day, press Add hours and pick when you work from the lists (15-minute steps). For a lunch break, add two ranges (for example 9:00–12:00 and 14:00–17:00). Check the time zone — it starts as your own. Then set the meeting length and press Save settings.

  3. 3

    Turn the switch on

At the top of the panel, turn on Booking. The switch stays grey until you have set at least one work hour.

While booking is off, a person who asks for an appointment is told: “Booking is not turned on here yet.” Turning it off later keeps the appointments already booked.

How people book

The person simply writes what they want, for example “I want an appointment” or «می‌خوام نوبت بگیرم». Then Daneshyar asks a few short questions:

  • It shows the free days, then the free times, as a numbered list. The person sends a number.
  • It asks for their name and their mobile number (or email — you choose in Settings), and asks them to confirm.
  • They get a booking code. They need it to cancel later.
  • One time = one person. While someone is filling in their details, their time is held for 5 minutes, so nobody else can take it. Each person can have at most 2 upcoming appointments.
Example: a patient opens your clinic's page and writes “I need an appointment”. They pick Tuesday, 10:30, type their name and number, and get the code K7M2QX. The booking shows up in your list right away.

Booking in Telegram and Bale

In Settings → Book in Telegram or Bale you find a link. Put it on your website or send it to people. It opens a private chat with the bot and starts booking for this workspace.

  • In a group you connected, the bot does not take bookings in the group. It asks the person to message it privately, so their phone number is not shown to everyone.
  • The person gets the confirmation, a reminder one day before and one hour before, and any change — all in the same chat.

See, approve and cancel bookings

The Appointments tab lists what is coming up. Press Show all to see cancelled ones too.

  • Approve: if you turned on I approve each booking, new bookings wait until you press Approve.
  • Cancel: press Cancel next to a booking. A person who booked in Telegram or Bale gets a message from the bot.
  • Where people can book: in Settings you can untick the share page, the widget, Telegram, Bale or the API.
A person who booked on the website is not told when you cancel. Please call or email them.

Manage your meetings from the bot

Link your own Telegram or Bale account once, on your Profile page (Telegram and Bale → Link). Then write to the bot in a private chat:

  • /new — add a meeting: the bot asks the day, the time and who it is with.
  • /today and /week — see your meetings.
  • /cancel K7M2QX and /approve K7M2QX — cancel or approve one booking.
  • The bot also tells you about new bookings and cancellations, and reminds you one hour before each meeting.
These commands work only from your own linked account, in a private chat with the bot. Other people in a group cannot use them. The bot always asks “yes or no” before it changes anything.

See bookings in your phone's calendar

In Settings → Calendar link, press Make a calendar link and add it once to the calendar on your phone (iPhone, Android, Google Calendar or Outlook). Your bookings then show up there too. Copy the link when you make it — it is shown only once.

Anyone who has this link can see when you have appointments. It never shows names or phone numbers — only a code and the time. If you shared it by mistake, press Make a new link: the old one stops working at once.

Daneshyar does not yet add bookings directly to Google Calendar or Outlook, and does not read your other meetings from them. Until then, keep your work hours up to date.
